Vestry Meeting, April 16, 2013

Charles Edmonson, Senior Warden called the vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order at 6:40 pm on April 16, 2013, members present were Dan Clark, Junior Warden, Linda Curtis, Treasurer, Kay Olson, Registrar, George Cornwell, Vestal Lewis, Carrie Quinn, Bill Brown, Brian McMahon, Sylvia Edgar, Kevin Eley, . Clergy present The Reverend Peter Hogg. Bob Harper Finance Chairman, was also present.

Prayers and intercessions were given by Brian McMahon; Brian also provided light refreshments.

Financial Report

Finance Committee Chairman Bob Harper gave the financial report. Expenses related to the Reverend Anna Noon’s salary will be noticed after April 30.

If the search committee needs more than the allotted amount for interviewing candidates the vestry will have to approve the additional expenses.

Hoffman House line item reflects the installment of one heat/air conditioning unit.

March Minutes

Bill Brown made a motion to approve the March minutes. The Motion Passed.

Reports

Junior Warden Dan Clark is planning to meet with outgoing Junior Warden John Chiasson and his helper Jack Pope to go over maintenance issues.

Stewardship: new chairpersons have not yet been appointed.

Renovation: The vestry will meet with the renovation committee on April 23 at 6pm for the purpose of reviewing Standard AIA contract, appoint a church representative for the project and review the scope of the work.

Bill Brown made a motion to have a special meeting with the Renovation Committee on April 23. The Motion carried.

Worship: The committee supports the idea of one church service beginning at the end of this church year in June through July as long as the congregation also supports the concept.

Christian Formation: Peter Hogg has a resume for an interim Christian Formation leader, Peter Hogg, Sandy Smith and Betsy Bouchard will meet with the candidate to determine if this is the right person for the position.

This position is time certain, task specific May through October 31, salary to be $10,000.00.

Brian McMahon made a motion to accept this position as time certain, task specific with the stated salary for the position of Interim Christian Formation leader. Second by Carrie Quinn. Motion passed.

Outreach: The outreach committee will meet on April 23 a determination will be made at that time as to continue the Summer Lunch Program.

Clergy Report: Interim Rector Peter Hogg reported he is not ready to do a background check on the Sexton.

Staff directories will be sent to vestry members as a PDF file.

7:40 pm Bill Brown made a motion for the vestry to go into Executive Session.

7:55 pm Brian McMahon made a motion for the Vestry to come out of Executive Session.

New Business

Vestry membership has included a Youth Representative for several years. The youth representative is chosen by his/her peers to come to vestry meetings to make a presentation that is pertinent to the group of youth. The representative is generally a junior in high school. Dan Clark will lay the ground work with the youth for them to elect/appoint someone to represent them at a vestry meeting. He/she may stay for the duration of the meeting or elect to leave after the presentation.

Action Group Advocates: Worship, Linda Curtis, Christian Formation, Kevin Eley, Outreach, Kay Olson, Inreach, Vestal Lewis, Sylvia Edgar to come off of Christian Formation as vestry advocate.

Date of the June Vestry meeting will be move to June 25

Nancy Beach is a member of the Camp Chanco Committee for the Diocese. She is requesting a donation for the Camp. (Referred to the Outreach Committee)

Retreat ongoing business: Each vestry member who is chairperson of a committee is assigned to write a short article to be included in the Epistle each month.

“Parking Lot”: Peter Hogg has suggested St. John’s have a communications officer to work with the public on keeping the City, Churches and other organizations up to date with what is happening in the congregation.
