Vestry Meeting July 16, 2013

Charles Edmonson, Senior Warden called the vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order at 5:30 pm on July 16, 2013, members present were Dan Clark, Junior Warden, Linda Curtis, Treasurer, Kay Olson, Registrar, George Cornwell, Vestal Lewis, Carrie Quinn, Brian McMahon, Sylvia Edgar, Kevin Eley and Bill Brown. Clergy present The Rev. Peter Hogg. Johnson. Thomas Templeman, Youth Representative was absent.

George Cornwell began the meeting with devotions and prayer.

Bill Brown made a motion, second by Linda Curtis, to approve the June vestry minutes, the motion passed.

Financial Report: The Finance Committee and Treasurer, Linda Curtis, have been reviewing the financial accounts of the parish. The committee is in the process of moving all the financial accounts from 2 banks to one bank, Old Point National Bank is bank of choice. The Hoffman House account is a standalone account and will not be included with the other accounts of the parish.

Special designated accounts for the parish lack clear written information about how the funds are to be handled and disbursed. Dan Clark made a motion seconded by Kay Olson to determine the documentation of the “Special” accounts. The motioned passed. The finance committee will look into these accounts to determine the documentation of how funds are to be handled.

Dan Clark reported the air conditioning unit in the Hoffman is being replaced.

Rector’s Report: Peter noted Bettyrene asked that each member remove old reports from their vestry notebooks to make it easier for new pages to be added.

Congregational Meeting to be held on February 14 and 15, 2014 in Williamsburg, VA. Delegates are Kay Olson, Dave Foster, Charlie Edmonson, and Sandy Smith. Alternates are Sylvia Edgar and Bill Brown, two more alternates need to be nominated. Nominations received during the vestry meeting were Betsy Clark and Vestal Lewis; Peter will ask for more nominations from the congregation.

Renovation Report by Carrie Quinn is attached to these minutes. Also reported St. John’s Church has secured the line of credit loan from Old Point National Bank. Meeting to be held with the altar guild and other Key people concerning the closing of the sacristy for renovation purposes. Items will have to be relocated to the parish house.

Brian McMahon made a motion, seconded by Sylvia Moore, to request funding from the Mary Williams Trust for the South and East door stoops to be renovated for accessibility of disabled persons. The motion passed.

Carrie Quinn made the motion to continue with the one Sunday service at 9 am until September 15, 2013, the “Kick Off” Sunday for the beginning of the new year of the church. Motion Passed.

A notification to be sent to parishioners to let them know how we stand on the renovation progress.

A special Meeting to be called on Tuesday July 23 for the purpose of a report from the finance committee.
