A meeting of the vestry of St. John’s Church, Elizabeth City Parish, Hampton, VA was held on May 11, 1999. Letia Drewry, Senior Warden opened the meeting and the Registrar, Nancy Adams, recorded the minutes.
Those present were Leo Vaisvil, Connie Heath, Jane Heiby, Vestal Lewis, Lew Vermillion, Rick Harman, Richard Hayes, Mac McKinney, Dan Clark, Marian Blount, Keith Hatch, Letia Drewry, Nancy Adams, and Elisa Wheeler, Rector’s Assistant.
Absent : Billie Einselen and Warren Spratley, Treasurer.
Devotions : Connie Heath.
CALL TO ORDER
REGISTRAR’S REPORT: No report.
TREASURER’S REPORT: The report was sent in by Warren Spratley. The balance as of April 30, 1999 was $39,439.52. The budgeted income is 36%, up 2% over year to date and the budgeted disbursements is 36.6%, up 3.3% over year to date. There was nothing to report on the Special Accounts. Richard Hayes recommended the financial reports be mailed before the Vestry meeting so there is time to study the reports.
COMMISSION REPORTS
Past chairs of the commissions were contacted to see who wanted to remain as chair. A list of those willing to continue serving, those willing to serve as new chairs, and suggestions for new chairs was reviewed. The floor was opened for any nominations. A motion was made and seconded to approve those willing to continue and those willing to serve as commission chairs. The motion passed and Letia will contact these people. Property Planning and Evangelism chairs still need to be filled. The commissions goals and objectives are due Aug. 5, 1999. Vestry members listed their choices for commission service.
CONSENT AGENDA
Ann Ward was nominated and seconded for Assistant Treasurer. The motion passed.
The letter of agreement for The Rev. Richard L. Vinson was reviewed and discussed. Letia stated this was a standard diocesan contract and Elisa Wheeler commended the discussion as a good step in working with contracts for the future and that contracts should be reviewed annually. Section C, 3 was modified to specify up to $500 for professional training could be spent annually and Section H, 1 was modified to specify $5,000 could be spent on the office furniture. A motion was made to accept these changes, was seconded and passed. It was suggested that the status of the Pentecostal minister’s use of the parish house be reviewed and that the Property Management Commission work on purchasing new office furniture. Letia stated that Rick Vinson would like the Discretionary Fund to be audited annually.
Two resumes for Interim Consultants were reviewed and both applicants are to be interviewed. A committee of Jane Heiby, Richard Hayes, and Letia Drewry will develop questions for the interviews. Letia will contact the applicants for interviews and notify the Vestry.
It is a requirement that office and Sunday School doors have clear windows in them. Property Maintenance will be contacted to begin working on this after determining the proper size and height of these windows.
The contract for the Hoffman House has been signed and sent to Larry Cumming, our lawyer.
It was decided that the Vestry should meet in July and Aug. this year.
Letia reviewed the final report on the Rector’s Retirement Fund and reported a balance of $482.46, The $500 from the Vestry wasn’t used.
The Vestry retreat will be May 21 and 22 at The Well and Rick Vinson will be able to attend.
To welcome the Vinson’s to St. John’s, notes should be mailed to them before July. Their address will be printed in the Epistle. A parish picnic is planned for July 11.
WARDEN’S REPORTS
Letia Drewry, Senior Warden, reported her name, Lew Vermillion’s and Sylvia Edgar’s will be printed in the Epistle for emergencies. Camp Wakonda needs volunteers and funds, and this request will be printed in the Epistle. There will be a workshop at Talbot Hall on The Rule of Life for Congregations on June 16.
Lew Vermillion, Junior Warden, reported the Second Site wall is being repaired. Boxwoods are being removed for installation of the new ramp. There is still a whistle in the air conditioning in the Church.
CLERGY REPORT
Elisa Wheeler reported there was a large turnout for Mrs. Sinclair’s funeral and there was an output of love shown for her son Tommy. She also needs more people to visit shut-ins.
