The regular monthly meeting of the vestry of St. John’s Church, Elizabeth City Parish, Hampton, Virginia was held on Tuesday, March 9, 1999 in the parish house at 7:00 PM, the rector being in the chair and the registrar being present.
Those present were: The Rev. Rodney L. Caulkins, Nancy Adams, Elizabeth Brauer, Dan Clark, Wendy Cumming, Peter Dolezal, Letia Drewry, Nelson Durden, Frank Edgar, Sr., Rick Harman, Keith Hatch, Connie Heath, Bill Mace, M.O. McKinney.

CALL TO ORDER
A motion was made and passed that the guests be given seat and voice at the meeting.
The Rector gave a summary of actions taken by the 107th Annual Council of the Diocese of Southern Virginia.
REGISTRAR’S REPORT: The minutes of the February, 1999 regular vestry meeting were approved as mailed and correspondence was read.
TREASURER’S REPORT: St. John’s Income & Expense Statement for the month ending 2/28/99 and special accounts statement were distributed and explained by the Treasurer. The Treasurer’s report was approved. The Treasurer also reported that St. John’s has received $2,006.67 from the estate of Robert Crockett. A motion was made that the bequest be put into the Parish Improvement Fund. An amended motion was made that the bequest be given to the Parish Improvement Fund on recommendation of the Finance Commission. The amended motion passed. The Treasurer reported the church bank balance was $49,101.00 as of 3/9/99.
CONSENT AGENDA
Joe Drewry, Commission Chairperson, gave a Stewardship Commission update to the vestry. See Attachment. M.O. McKinney reported that there will be students here at St. John’s to help build a Habitat for Humanity house in the area, and any special offering would be appreciated to help support the students while they are here. The rector then turned the meeting over to the Senior Warden and left, after thanking Keith Hatch, Letia Drewry and Peter Dolezal for the dinner before the vestry meeting.
The Senior Warden introduced the Rev. Donna-Mae Siderius, who spoke in depth on the period of transition when St. John’s will be looking for a new rector. Bishop Bane and the Rev. Donna-Mae Siderius then made a recommendation of a person to be the Interim Rector. The next step was for the vestry to interview the person recommended. The bishop and Donna-Mae Siderius also made two recommendations for interim consultants.
Mr. Mace thanked Donna-Mae Siderius for her assistance in explaining the period of transition. It was suggested that the Executive Committee of St. John’s Church meet and suggest the process to use to call the person recommended to be the Interim Rector.
Mr. Mace reported on the negotiations for the purchase of the Hoffman House building. He reported that the sellers would sell the building to St. John’s Church for $171,000.00. A motion was made and passed that St. John’s Church purchase the Hoffman House building for $171,000.00. Mr. Mace also announced that there would be a special vestry meeting at the Parish House on March 17th, 1999 at 7:30 PM to consider the ramp to be built on the north side of the church building toward the Parish House, and to consider the process to use to call the person recommended as Interim Rector.
There will also be a special meeting of the vestry on May 4, 1999 at 7:00 PM at the Parish House to organize the new vestry after vestry elections on May 2, 1999.
Letia Drewry announced that there will be a video taping at the church building on Sunday, March 14th, 1999 from 1:00 PM – 5:00 PM for vestry members who may want to make comments about Rod Caulkins’ ministry.
There was also further discussion about the special event for Rod and Janyce on April 24th, 1999.
