Doug Miller, Senior Warden, called the vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order on April 19, 2016 at 6:35pm. Present were members Doug Miller, David Edmonson, Ann Templeman, Mary Pat Croft, Bettyrene Pope, The Reverend Mark Riley, Rose Hobart, Duncan Garnett and Treasurer, Linda Curtis. Absent from the meeting were Bill Brown, The Reverend Samantha Vincent-Alexander, Val Bowen and youth representative, Will Olson.
Mary Pat began the meeting with a Bible reading. Minutes from the March meeting were reviewed and several changes were made. Duncan made a motion to approve the minutes as amended, Rose seconded the motion and it was approved.
Treasurer’s Report Linda reviewed the financials from March. Money from the Nickerson Trust was added in March so income shows as ahead of budget. The first quarter payment from the Endowment Fund was received. Expenses are on the mark. Pledges are a little down but nothing to be concerned about yet and the plate is still low mainly because of the missed service in January. Samantha’s medical will need to be changed to allow for “family status”. Medical insurance is split with Conor’s Parish. It was decided that it would be offered for Conor’s Parish to cover what they could for the additional expense and St. John’s would cover the remaining amount. Doug made a motion to absorb the additional medical insurance cost up to half and any of it if Conor’s Parish could not. Duncan seconded the motion and it was passed. Utility expenses are still being reviewed. With the high electric bills, the system is not as efficient as we were led to believe it would be. Linda will be sending a spreadsheet to Mark and Doug that looks at the oil St. John’s has been using. Mark has been daily checking the temperature in the church at noon and twice on Sundays.
Rector’s Report- Mark reported since Samantha is on maternity leave. Outreach Allocation Mark reviewed the results from the Outreach Committee on the disbursement of the $16,000 from the Nickerson Trust. These funds will be allocated throughout the year. The vestry reviewed the list and Mary Pat made a motion to approve, David seconded and the motion passed. Vestry Retreat Everyone was reminded that the vestry retreat would be August 26/27. It is important for everyone to attend. It will be at Camp Chanco again and there will be an outside facilitator. Stop Hunger Now Sign-ups will begin. Need to get advertising out in the community about the event. Cups for donations in restaurants and for seeking help letting people know the details of the event.
Sr. Warden Report The visioning process was discussed but it was determined that we should wait for Samantha to return before we continue with the discussion. A few ideas were discussed including an Instructive Eucharist that David described. Along with a speaker series.
Jr. Warden Report
Normal maintenance was discussed. The roof work will be beginning and there will be scaffolding around (being paid for by Endowment). New cemetery lights have been put in (LED). There is a potential renter for the Hoffman House. The security cameras were discussed and Bettyrene is going to touch base with Jenn on what she needs.
By-laws – Doug made some changes to send to Val and he updated his job description. It was decided that it will be reviewed at the next meeting when Val is in attendance along with discussing if an indemnification clause is even needed.
The meeting was closed with prayer and we adjourned at 8:00 pm.
