Vestry Meeting, September 16, 2014

Charles Edmonson, Senior Warden, called the vestry of St. John’s Episcopal Church, Elizabeth City Parish to order at 6:30pm other members present were Linda Curtis, Treasurer, Kay Olson, registrar, Doug Miller, Valerie Bowen, Ann Templeman, Sylvia Edgar, Vestal Lewis, George Cornwell and Kevin Eley Clergy. Also Present Reverend Samantha Vincent-Alexander. Absent were Junior Warden Dan Clark and Doug Miller.

Valerie Bowen began the meeting with a Psalm reading and reflections.

A motion was made by Ann Templeman and second by Valerie Bowen to approve the minutes as printed. Motion carried.

Linda Curtis explained the printed financial report, a bill from Dominion Power for $4,000.00 was for the months of April through the 26 of August. Caps with the “Fighten Sin” logo have been reordered for sale to the congregation.

The savings from having an internal audit, rather than hiring an outside company to audit the books, were about $3,200.00.

A motion was made by George Cornwell and seconded by Sylvia Edgar to accept the Financial Report as printed. Motion carried. A printed copy of the financial report is attached to these minutes.

Vestry Committee Discussions and Reports

Spiritual Life reported the 1st thru 6 grade class will be having various teacher volunteers helping with the class, perhaps teaching a lesson on Communion Bread, or making crafts related to church activities. Perhaps getting the youth involved in prayer by texting them with a particular prayer request e.g. Prayers for one of peers who has recently been ill or had an accident.

Administration/Resources committee reported November 16 will be the beginning of the Stewardship program along with the covered dish Thanksgiving Luncheon. The budget will be ready for the vestry to review in December. The Heritage committee will be given space to display “found” artifacts from the work they are doing to catalog items found in the space allotted for storage of “stuff”.

Connection to Others committee is forming a Newcomer group to be spearheaded by Nancy Adams and Bill Brown.

Rector’s Report

Reverend Samantha Vincent Alexander reported the “Kick Off” breakfast and meeting went very well, she thanked the Inreach committee for all their efforts with the breakfast.

Two subjects were broached during executive session. Business meeting resumed at 8:10 pm with a motion from Sylvia Edgar.

Junior Warden Dan Clark filed a printed report. The report will be filed with these minutes.

Senior Warden’s Report

The date for the Mutual Ministry Review is September 30 in the parish house.

Committee to review stage library, etc. and make adjustments, improvements-to be chaired by Ann Edgar with Susan Edmonson and Carrie Quinn.

Publication of names of Trustees, members of committees, etc. along with Diocesan Fund information, Valerie has graciously agreed to compile this list and information

Planning Meeting of Trustees, Mary Williams Trust, Cemetery, St. John’s Endowment, Rector, and Architects will be on September 21. Condition of HVAC system will be discussed to come up with a cohesive plan to address issues.

Old Business: 2015 Council delegates Susan Edmonson, Linda McMahon, Vestal Lewis and Betsy Bouchard.

New Business

A letter from Deborah Carr was read concerning a donation from Richard Sawyer. Mr. Sawyer has asked to donate his 5’x4” Knabe grand piano to St. John’s church to be used for the glory of God and to enhance our music and worship ministry. Deborah said she, “as a custodian of our musical instruments, has visited this piano, have played it, and have measured it and I believe it would be a tremendous asset to our worship and musical program.”

The vestry is interested in obtaining this instrument, but would like to examine details of where it will fit and any costs that may be incurred to house the piano. The issue has been tabled for further examination of these issues.

Decommissioning of the Renovation Committee, Kevin Eley made a motion seconded by Sylvia Edgar to decommission the Renovation Committee, Motion passed.

Samantha will be on vacation October 6-12 and November 23.

Linda Curtis made a motion, seconded by Vestal Lewis to designate the plate offering of the first Sunday in October, November and December for the payment of the church’s 2012 diocesan pledge. The Christmas plate offering will go into the general operating budget. The motion passedjenn.

Bettyrene Pope has graciously volunteered to be the “shopper” for needed church products and supplies. A debit card for exclusive use at B J’s Wholesale had been arrange for from the bank. Valerie Bowen made a motion to get a debit card with a spending limit of $500.00 from the bank to be used only at B J Wholesale, George Cornwell seconded the motion, the motion passed.

Meeting was closed at 8:30pm with prayer.
