Charles Edmonson, senior warden, called the vestry of St. John‘s Episcopal Church, Elizabeth City Parish to order at 6:30 pm October 21, 2014. Present were Linda Curtis, treasurer, Kay Olson, registrar, Sylvia Edgar, George Cornwell, Doug Miller, Valerie Bowen, Kevin Eley and. Clergy Present The Reverend Samantha Vincent-Alexander, also present were guests Jan Brown, Carrie and Ron Quinn of Q-design. Absent were Dan Clark, junior warden, Vestal Lewis, Ann Templeman.
Charlie Edmonson opened with the reading of Psalm 107 and reflections.
Samantha introduced guest Jan Brown, Jan is Deacon Intern Postulant in the discernment process. Bishop Hollerith has assigned her to St. John’s, Hampton. Jan will begin work at St. John’s on January 4, 2015, she will work every Sunday and one day per week.
Jan is serves as founding and executive director for SpritWorks Foundation Center for recovery of the Soul, the Center for Addiction Recovery & Wellness, a nonprofit in Williamsburg, her areas of expertise are in addiction recovery and brain injury recovery. She is also Burger at Bruton Parish that means she makes sure the service runs smoothly.
The In Reach committee will be asked to host a reception for Jan Brown ln January 4th
Minutes of the September minutes were approved with a motion by Sylvia Edgar and second by Linda Curtis.
Reports: Treasurer Linda Curtis: A motion was made by Doug Miller, seconded by Kevin Eley to accept the Finance report as printed.
Special presentation on future projects and maintenance was presented by Doug Miller and Ron and Carrie Quinn of Q-design. The presentation included a limited professional Service Agreement by Q-design.
The proposal included a maintenance schedule to be an ongoing tool for keeping track of normal monthly, semiannual and annual maintenance items for the physical plant. To know what needs to be done, when and what needs to be recorded once it is done.
A copy of this proposal is attached to these minutes.
The vestry agrees we definitely need a maintenance schedule. A suggestion was made that the vestry should to meet with the Mary Williams Trust and the endowment board before moving ahead with the business aspect of a service agreement.
Old Business
Piano update, the pews that have to be removed for the piano to fit under the staircase are to large to fit in the chapel area. A suggestion was made to measure pews presently in the parish house to see if any of them will be a fit. The cost of rerouting the heating pipes will be around $1,000.00. The plans for the piano is tabled until next meeting.
The Stewardship Campaign will be a yearlong endeavor. A stewardship play will be held at both services on November 9. Pledge cards have been mailed and requested to be returned during the Stewardship/Thanksgiving luncheon on November 16.
Linda Curtis made a motion seconded by Samantha Vincent-Alexander to extend the meeting for 15 minutes. The vestry approved and went into executive session at 8:30pm.
The meeting was adjourned at 8:50pm with prayer.
