The regular meeting of the vestry of St. John’s Church, Eliubeth City Parish, Hampton, VA was held on September 14, 1999. The meeting was called to order by the Reverend Richard Vinson, and the registrar was present.
Those present were Vestal Lewis, Jane Heiby, Marian Blount, Dan Clark. Richard Hayes, Rick Hannan, Billie Einselen, Leo Vaisvil, Frank Edgar, Lew Vermillion, Connie Heath, Keith Hatch, Letia Drewry, Nancy Adams, Rick Vinson, and Bill Rhode, PD&A Commission Chair.
The devotion was given by Leo Vaisvil.
Review of Minutes and Agenda
The minutes of the Regular August l 0, 1999 vestry meeting were approved as amended. The agenda for the September 14, 1999 meeting was reviewed and approved.
Registrar’s Report
There was no report from the registrar.
Treasurer’s Report
Rick Harman, Chair of the Finance Commission, gave the Treasurer’s Report. The bank balance is $8,779.00. The Income and Expense Report was handed out and it was noted that Rod Caulkin’s last salary payment was in August. There is an additional $4,181.84 in the “other income” account to pay for the new computer. The Special Account Report was handed out and it was noted that the Discretionary Account is now being reported to the Vestry. The new software and computer is still being refined and the Treasurer’s Report should include all the accounts by next month.
The Treasurer’s Report will be completed more quickly and distributed earlier when the software is completely installed. Pledges are still down for the summer and it was suggested to print a reminder in the Epistle. The current status of individual pledges will be tracked using the new software.
Warden’s Report
Letia Drewry, Senior Warden, reported all ten potential Search Committee members have been contacted and six out of ten have already accepted.
Lew Vermillion, Junior Warden, reported he has obtained three quotes on painting the outside of the Church and awarded the contract to Charles Lineberry for 56,000. He is still waiting for estimates on repairing the roof At the Hoffinan House, there is wood that needs painting and stucco that needs repairing. He will get with the Treasurer about financing these repairs.
The past six years repair schedule for the Church and parish hall was handed out and the rewiring of the parish hall was discussed. Fans will be installed in the parish hall.
Interim Rectors Report
A job description for the position of Youth Director has been developed and the position is being advertised in the diocese newsletter and on E-mail. If no one applies, the next step is to advertise with other local churches.
Ann Ward and Judy Moore have been installing the new software and it is running. The copy machine isn’t working and the lease agreement runs until January, 2000. At that time, the lease can be extended, or a new lease agreement can be negotiated, or a new copier can be purchased. Judy Moore is researching these options and tabulating a total printing expense for comparison.
Other Business
Stewardship, both financial and spiritual, is a concern and our giving should be intentional. The Stewardship Commission has developed an action plan including a stev, ardship dinner. It was discussed whether this dinner should be catered or partially catered. Rick will talk to the treasurer about any off budget that is available and donations for the dinner can be solicited. The tentative date is November 3.
A fall vestry retreat with an emphasis on “visioning” is scheduled for Nov. 13 at the Bagley Cottage in Buckroe. Rick Vinson will facilitate.
Council delegates will be voted on at the October meeting. Nominations will be solicited in the Epistle.
Good of the Order
A ministry fair will be conducted next Sunday after the 10:30 service. The Bazaar is November 10, 1999. The Community Thanksgiving will be at St. John’s Church this year. The Daughters of the King will have eight new members installed at the 10:30 service on September 26.
Rails on the new ramp have been installed.
