Vestry Meeting, December 19, 2023

The vestry of St. John’s Episcopal Church, Elizabeth City Parish, was called to order on December 19, 2023 at 6:30 p.m at the home of Bill Beach. Present were: Senior Warden Bill Beach, Junior Warden Jay Hogg, Registrar Lynn Kirkland, Anne Abraham, Darden Barrett, Ron Kindley, Jim Klotz, Brad Norris, Elizabeth Zimmerman, and The Reverend Mark Riley. Absent: Treasurer Linda Curtis

The meeting opened at 6:30 p.m. with a prayer by Reverend Mark Riley.

Determination of Quorum: Quorum meet

Treasurer’s Report, Linda Curtis

Linda was not present but submitted an email (attached) to Bill Beach stating: (1) the latest plate and pledge amounts which exceed the annual budget as of the end of November, (2) the actual income amount as of 11/30/23 ($505.860.00) exceeds our expenses as of 11/30/23 ($463,866.00) which likely leaves us an end of year surplus, (3) the 2024 budget expenses will be slightly higher, (5) on the income side, we will not likely be able to take money from Hoffman House and we will not get a Charitable Trust contribution and (6) records show 80 pledgers for a total of $272,875.00. Last year’s pledge total was $328,180.00. Linda is not panicking because this is about where we were last year at this time.

Approval of Minutes: The minutes of the November meeting were approved.

Associate Rector’s Report, The Reverend Mark Riley

  • Deacon Dana will help with Christmas Eve services
  • This is a very busy time for the staff
  • Mark used the rest of Samantha’s discretionary funds to take the nursery staff to lunch as a thank you for all of their help

Warden Reports

Senior Warden, Bill Beach

  • Postponing the vestry retreat for now
  • A donation has been given to the church to purchase a new digital safe for Altar Guild use in the Sacristy. The old safe has a manual dial and is very tempermental causing difficulty getting into the safe on Sunday mornings. A motion was made by Jay Hogg to purchase a digital safe for Altar Guild use in the Sacristy with the donation and was seconded by Darden Barrett. The motion was approved unanimously.

Junior Warden, Jay Hogg

  • Jay has been busy patching holes to prevent rodents from getting into the parish hall.
  • A new door has been installed in the copier room
  • Quotes were obtained to remove the asbestos tiles and flooring in the chair closet in the parish hall. WACO will remove the asbestos flooring in 2 days and will not require evacuation of the premises. The area will be draped with plastic and the exhaust will go through the bathroom window for the cost of $1,465.00. David White will replace the flooring for $2,275.00 for a total of $3,740.00. A motion was made by Jay Hogg to accept the quotes of WACO and David White to have the asbestos tiles removed and the floor replaced in the chair closet and was seconded by Jim Klotz. The motion was approved unanimously.
  • Jay is still exploring the oil tanks.
