Vestry Meeting, September 19, 2017

The Vestry of St. John’s Episcopal Church, Elizabeth City Parish, was called to order on September 19, 2017 at 6:45 pm. Present were members David Edmonson, The Reverend Samantha Vincent-Alexander, The Reverend Mark Riley, Pat Dennehey, Bob Harper, Mary Pat-Croft, Rosemary Hobart, and Bettyrene Pope. Absent were Bill Brown and Duncan Garnett

Mary Pat-Croft opened with Scripture.

Check In and Absences Had not heard from Bill Brown and Duncan Garnett. Linda Curtis is on vacation.

Treasurer’s Report

No formal report as Linda and her husband are away on vacation.

Rector’s Report

Reverend Samantha Vincent-Alexander reported the following:

  • Reverend Mark Riley, Junior Warden Bettyrene Pope, Reverend Samantha Vincent-Alexander and Treasurer Linda Curtis meet with the Mary Williams Trust and Endowment to discuss what expenses the Mary Williams Trust and Endowment are able to pay with regards to the 1728 Church building and Parish House. The treasurer was asked to do more work in separating out specific expenses.
  • Whiting Chisman Jr. has offered to pay for AED’s for St. John’s. We will need to look into CPR training.
  • Executive Session- No minutes are to be reported.
  • Budget process is starting. Whiting Chisman Jr. has offered that the Mary Williams Trust and Endowment would help with paying some of the larger routine expenses associated with the 1728 Church and Parish House. This would have the potential to free up money to be put towards other projects in the future. The first step in this process is to look at current expenses and start compiling a list of expenses the Mary William Trust would be paying. The Vestry can then start putting together a wish list of future projects that this extra money could be put towards. Whiting mentioned that Mary Williams Trust could potentially pay for a playground. There would also need to be tools in place to properly track where money is expensed. Linda Curtis and Samantha will present a list of expenses to Mary Williams Trust and the Endowment Committee.

Assistant Rector’s Report

Reverend Mark Riley reported the following:

  • Bible Study continues to get good feedback and has consistent attendance numbers. This group also has a powerful prayer commitment for the church as well as for others.
  • Passed out information that offers different ways to read the bible in a year.
  • Looking at the possibilities of starting an Alpha Program in helping to grow the church.
  • Have shared information with Old Donation about the Come and See program.

Junior Warden Report

Junior Warden Bettyrene reported the following:

  • Continuance of routine maintenance, changing light bulbs, etc.
  • Flood light outside Sunday School building replaced by Advanced Electric.
  • Cleaned up in Sunday School room, craft storage room, and costume storage room from leaks in the ceiling. Two inspections holes were cut in roof to access damage. Quinn’s providing assessment of roof assembly.
  • E.T. Lawson and Rose Brothers have been contacted to provide proposals to convert the oil boilers in stage basement and the hot water heater to natural gas. This was suggested by the Mary Williams Trust and Endowment board.
  • Q-Design has been contacted for status of RFP’s. They currently have 7 24×36 sheets of drawings and have not given a date for solicitation of bids. They also owe the Vestry a briefing. Senior Warden Bob Harper will contact Q-Design. Inspection reports for lead based paint and mold were down with nothing glaring to report.

Senior Warden Report

Senior Warden Bob Harper reported the following:

Audit of St. John’s Financials were done, however it seems several important pieces of information like a Balance Sheet and an Income Statement were not in the report and until this information is provided the Vestry will not vote on accepting the report. Auditor will be contacted to provide this information so vote can be done next month.

Vestry Liaison Reports

Stewardship – Rose Hobart reported good attendance of Ministry Fair. Stewardship letters have been mailed. Vestry will help with follow up calls sometime in mid-October.

Christian Formation/Youth – David Edmonson reported Shannon Olson is having a tough time finding volunteers. Need 1 more for High School Group. David is helping Youth Class. Also working with other local EYC groups for combined activities.

Planned Giving – Whiting Chisman Jr. reported Duncan Garnett is waiting until after Stewardship campaign to meet.

New Business

Senior Warden Bob Harper led us in Compline.
