Vestry Meeting, May 16, 2017

The vestry of St. John’s Episcopal Church, Elizabeth City Parish, was called to order on May 16, 2017 at 6:30 pm. Present were members David Edmonson, Bettyrene Pope, The Reverend Samantha Vincent-Alexander, Bob Harper, Mary Pat-Croft, Duncan Garnett, Youth Rep. Will Olson, The Reverend Mark Riley, and Treasurer, Linda Curtis. Absent were Bill Brown, Pat Dennehey, Rosemary Hobart, and Whiting Chisman Jr.,

Bob Harper opened the meeting with several prayers.

Treasurer’s Report

Linda went over the financials for April and noted the following:

  • Income is still ahead for pledge and non-pledge offerings. Plate was over budget for the month (Easter).
  • Received $100 for use of the facility. Miscellaneous income of $74.09 (most came from Kroger $69.09).
  • Expenses: Quarterly pensions paid for staff & clergy
    • Quarterly property insurance
    • Associate Rector used Continuing Education Funds for trip – from Operating Fund
    • Vehicle expense- error posting from March- corrected to Kitchen/Parish House expense
    • Miscellaneous expense – Lenten supper expenses, BJ’s renewal
  • Funds: Memorial – LEM robes, resilvered chalice, tables for Coffee Hour
    • Music Foundation – Instrumentalists for Rutter Requiem
    • St. Anne’s Guild – Boys’ Home gift cards for seniors

The April 18, 2017 Vestry minutes were reviewed. Bob Harper moved that the minutes be approved. Bettyrene seconded the motion. The motion carried and the minutes were approved.

Rector’s Report

Samantha reviewed the synopsis of the copier findings provided by Jenn Devlin. It was decided to accept the Cobb bid out of the three proposals solicited.

The Newcomers Committee is planning a get-together and Nancy Beach is sending personal invitations to those who have been attending church this past year. It will be on Tuesday, June 13th at 6:30pm with wine, drinks, cheese, crackers and fruit. The Vestry is encouraged to attend to meet and greet.

Saturday Night Block Party- St. John’s will be pumping beer for the Block Party on July 22nd. Any tips go to the organization. Volunteers are needed. More detailed information will follow.

The Vestry Retreat will be on August 25th & 26th at Camp Chanco.

Assistant Rector’s Report

Stop Hunger Now is scheduled for Sunday, July 9th. There will be a signup sheet in the Parish House.

Mark gave a short summary of his trip to the Holy Land and said people should try to make the trip. He will be giving a full report at a later date during Christian Formation time.

Junior Warden Report

Normal maintenance was attended to. Installed LED light bulbs in the bell tower and light sensor switches. A filter for the ice machine in the kitchen was purchased and installed.

Bettyrene presented a bill from G. T. Houston for $1081.25 for roof repair for the church. It was moved and seconded that the bill be sent to the Endowment Board for payment. The motion was approved.

Bettyrene presented a bill from G. T. Houston for $3,007.75 for Parish House soffit repair. It was moved and seconded that the bill be sent to Mary Williams Trust for payment. The motion was approved.

Senior Warden Report

The revised Parish House proposal was sent to Q Design signed by Bettyrene Pope and Bob Harper. Copies of the By-Laws revision were given to members present. Norms for the diocese were passed out for reading and review.

Vestry Committee Reports

Christian Formation/ Youth – David Edmonson talked with Shannon Olson. Upcoming events Youth Sunday, Yard Sale- June 3rd, Last Sunday of Christian Formation- June 11th and VBS dates Aug. 7-11.

New Business- Samantha reported that the Pastoral Care group has recruited twelve (12) people to make quarterly calls to maintain relationships with parishioners.

Samantha closed the meeting with prayer.
