The vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order on November 29, 2016 at 6:30 pm.
Present were members Doug Miller, David Edmonson, Ann Templeman, Bettyrene Pope, The Reverend Mark Riley, The Reverend Samantha Vincent-Alexander, Duncan Garnett, Val Bowen, Rose Hobart and Treasurer Linda Curtis. Absent from the meeting was Bill Brown and Mary Pat Croft and Youth Representative Will Olson.
Val began with a scripture reading.
Minutes from the October were reviewed and a correction was made. Bettyrene made a motion to approve the minutes as amended, David seconded it and the minutes were approved as amended the vestry.
Treasurer’s Report Expenses were greater than income. Year to date expenses are $40,000 greater than income. Linda reviewed the accounts that were over-budget so far for the year and the reasons that they were over budget. Roof repairs were discussed. Doug made a motion to ask Endowment to pay for the roof repair in the amount of $1500.00 Bettyrene seconded the motion and the motion was carried. Linda reviewed the budget. Mary Williams Trust will pay for utility bills and property insurance. Money from the reserve ($11,591) will need to be transferred to balance the budget. Samantha discussed the discretionary fund. She would like to see a those funds transferred to a sabbatical fund. The diocesan pledge is $33,000.00. The vestry discussed it and even though the dioceses doesn’t account for it, we want to reflect that we are paying down our past pledge. David made a motion to account for the 2017 diocese pledge in the budget to reflect a $28,000 pledge current year pledge and an additional $5000 going to pay the past pledge. Rose seconded the motion and the motion was approved. Doug made a motion to approve the budget as amended, Rose seconded the motion and the budget was passed.
Rector’s Report – Come and See- Samantha reported that over 80 people attended the training. Pledges are starting to come in. It is on people’s minds and she has a good feeling about it. Church Inventory-Volunteers will be needed to do this and see where our gaps are. Signage is one of the gaps; training of greeters is another gap. If the vestry sees any gaps, please email Samantha with them. There will be a cleaning day in January where we will work on the physical plant to make the church clean and shiny. Full worship booklets will be used January 22nd and 29th for the Come and See Sundays. Another gap identified it to look for visitors that the choir has invited since they won’t be able to sit with them. Annual Meeting-It will be held January 15th. There will be a shared service at 9:15 with a continental breakfast served afterward. Vestry member agreed to provide the breakfast again. Christian Formation- Samantha reviewed the new plan for youth Christian Formation and the departure from the Journey to Adulthood program and the pilgrimage. Luckily the number of youth has grown but the J2A program is not conducive to bring new people in. Instead of the pilgrimage, there will be more of a mission trip. There will still be fundraising efforts to fund that. The vestry had no problems with the change and were supportive of the plan. Fair Labor Standards Act – If you make less than $47,000 hourly time sheets needed to be turned in. They will begin this December 1st. The law is to protect people who are working more than what they are getting paid. Debra is the only staff member who could go over 40 hours. The bookkeeper will keep the time sheets in file. Doug suggested for Samantha to contact Jamie Shoemaker if she had any questions.
Assistant Rector’s Report- Mark gave an update on the HVAC system.
Jr. Warden Report – Bettyrene gave an update on the maintenance performed during the month. Sr. Warden Report Doug reminded everyone of the Mutual Ministry review on December 7th. He asked the vestry to think of anyone who may want to serve on the incoming vestry. The vote on the new vestry will be held at the annual meeting. There will not be a vestry meeting in December.
