The vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order on September 20, 2016 at 6:35 pm.
Present were members Doug Miller, David Edmonson, Ann Templeman, Mary Pat Croft, Bettyrene Pope, The Reverend Mark Riley, The Reverend Samantha Vincent-Alexander, Duncan Garnett, Val Bowen, Rose Hobart, Youth Rep Will Olson and Treasurer Linda Curtis. Absent from the meeting was Bill Brown.
Rose began with a scripture reading.
Minutes from the July had already been approved at the vestry retreat.
Treasurer’s Report
Pledged income is over what was expected for the first time since February, but still down for the year. Linda requested funds from the Perpetual Honor Fund from the diocese and will received $3890.00.
Rector’s Report – Grey Goose Flyer – Samantha asked the vestry if anyone had a problem with putting a flyer from the Grey Goose in the bulletin for brunch and a % of the proceeds would go to the church if flyer was used. No one had a problem. St. John’s 500- After the mailing to Ft. Monroe for kick-off Sunday, many glitches were discovered. Training will begin in October and November. Information about being a welcoming parish will continue during the adult forum. A church inventory will be scheduled. Newcomers- The newcomers committee is in sync. They are reviewing having items in the pews to direct people on what books to use during the service.
Stewardship- The campaign was pushed up 5 months which was an aggressive goal. There are 10 people who still haven’t pledged. Vestry members each took a name to call and remind them. There were 8 new pledgers. Doug commented that he was very pleased. It was a massive undertaking. It was discussed if we should do it early again next year or maybe October. It is very beneficial for budgeting. Vestry Retreat – the discussion of helping parents of young children continued. Children’s Chapel and children’s tables in the parish hall during coffee hour were discussed.
Asst. Rector Report- Bible Study continues to go well. Mark gave kudos to Betsy Bouchard for helping to set-up the Kroger savings card program.
Jr. Warden Report – There had been an email vote from the vestry for emergency HVAC repair and it was approved. A formal request was made to the Endowment Board to pay for the emergency repair.
Sr. Warden Report Doug recapped a joint meeting that was held with the Mary Williams Trust and the Endowment Board. Bettyrene, Mark and Samantha were in attendance as well. This was the first time the two entities met together. The meeting was held to determine who is paying for what. Endowment has agreed to pay off the renovation note early. MWT will pay $300,000 on current note. Since Endowment will pay down the note, MWT will be more willing to pay for items. Bettyrene made a motion to have MWT pay for the HVAC, utilities and insurance. Mary Pat seconded that motion and it was approved. Samantha will write a letter to MWT with the request. Dan Clark has finished his term of the Endowment Board and Doug made a motion to replace Dan with David Edmonson. Bettyrene seconded that motion and it was approved. Mutual Ministry Review-This is a review of the vestry and the clergy. A diocesan consultant will meet with us. Ann will email vestry members to determine which date works best.
By-laws – Doug will circulate the changes to the by-laws with David’s changes. The vestry should be ready to vote on them at the October meeting. Ministry Fair -Rose reviewed the upcoming ministry fair. The theme will be “Come Follow Me” based on the stewardship campaign and it will be held October 16th after the 10:30 service.
The meeting was closed with prayer by Rose and we adjourned at 7:48 pm.
