Vestry Meeting, July 21, 2015

Doug Miller, Senior Warden, called the vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order on June 16, 2015 at 6:35pm. Present were members Doug Miller, David Edmonson, Ann Templeman, The Reverend Samantha Vincent-Alexander, Val Bowen, Mary Pat Croft, Linda Curtis, Kevin Eley, Jess Miller and Bettyrene Pope. Absent from the meeting were George Cornwell, Dan Clark and Youth representative Thomas Miller.

Samantha opened the meeting with a prayer.

Minutes from the June meeting were reviewed. The minutes were approved. Motion to approve by Linda Curtis seconded by Kevin Eley.

Treasurer’s Report

Linda reviewed the treasurer’s report. Non-pledged income is doing really well. Since this was the midpoint of the year, Linda did a review to see where St. John’s stands. We are over on pest control, electricity, water & sewer. We should be OK on oil.

We discussed the AC Maintenance for 2015-16, Mary Williams Trust (MWT) will pay that. There is also $550 needed for the sprinkler maintenance contract. MWT does not want to cover these small contract charges but until issues with the Endowment fund get straightened out, we will have to continue going to them.

David Edmonson gave a psalm reading.

Rector’s Report

Samantha gave a summary of the General Convention and will give one this Sunday to the Parish after the service.

There was a discussion on the covenant conversation with the Parish. We will need to outline a plan and have it in the newsletter. A survey was discussed but Samantha is not a fan of those. We decided to do an information meeting after church and then do 3 small group meetings for discussion and conversation. We will have these meetings first and then decide if we want to do a survey. Samantha will come up with dates for these meetings in the September-October time frame.

New colors and pictures have been picked for the website. Brian has agreed to continue to be the webmaster.

For the potential part-time assistant, Emmanuel doesn’t have the money. The Bishop hasn’t found another position and is looking for creative solutions. He cannot go back to Galilee. We will wait for the Bishop to see what he comes up with.

Jr. Warden’s Report

Bettyrene gave an update on the PA system, HVAC, alarm issues and leaks. There will be a reduction in our insurance premium of $4041 since we have the new sprinkler system in the sanctuary. It should be a reduction of $9000 next year. Bettyrene will call to get the policy for this year.

Sr. Warden’s Report

MWT project, electrical and cemetery walk has been completed.

Eleanor Brown has agreed to be the stewardship chair,chair; she is going to recruit a committee. Mary Pat agreed to be the vestry liaison to the stewardship committee. They are looking at having a different theme of stewardship every quarter tied to the mission. Doug will write a letter to Rick about his election to the Endowment Board and copy Dan.

The Audit Committee will need to get back together.

Vestry members agreed to serve on committees.

Nickerson Trust

Val gave an update of what she reviewed in the folder. There wasn’t much in there; she thinks there must be more paperwork elsewhere. We discussed rotating members who decide where the funds are distributed. More structure is needed in outreach.

Vacation Bible School

There were 20 volunteers. Eight teenagers came every day. There will be a come as you are service August 16 and the VBS students have been invited to sing.

It was decided not to meet in August due to the vestry retreat.

David closed the meeting with a prayer and we were adjourned at 8:35 pm.
