Charles Edmonson, Senior Warden, called the vestry of St. John’s Episcopal Church, Elizabeth City Parish to order at 6:40 pm October 22, 2013, present were Linda Curtis, treasurer, Kay Olson, registrar, Brian McMahon, Kevin Eley, Carrie Quinn, Bill Brown, Sylvia Edgar, George Cornwell, Thomas Templeman, Youth representative and Clergy, Samantha Vincent-Alexander. Guest Linda McMahon, Stewardship co-chairman. Vestal Lewis was absent.
Charles Edmonson led the group in opening prayer and provided refreshments.
Charles Edmonson congratulated Linda Curtis on being named vice-mayor of the Hampton City Council.
Minutes of the September meeting were approved as corrected.
Reports
Youth representative, Thomas Templeman reported that some youth have voiced concerns about the Christmas Naivety not being as traditional as some would like.
Finance Chairman, Linda Curtis reported the budget has a shortfall of $39,200 at this time of the year, if this trend continues the budget for the year will not be met.
Kevin Eley made a motion to accept an $8,000.00 loan made by a parishioner with the same conditions as the other loans made earlier this year, and to extend the original loan agreements for an additional six (6) months if necessary. The motion was seconded by Bill Brown. The motion passed.
Carrie Quinn made a motion to utilize $5,000.00 in the Hoffman House account to meet payroll and to pay insurance due at this time. The motion was seconded by Kevin Eley. The motion passed.

Heritage Committee spokeswoman Sylvia Edgar reported Ann Ward has made three (3) copies of the cemetery book to be kept on hand for reference and future needs.
Linda McMahon, stewardship co-chairman reported on the progress of the pledge campaign; her report is attached to these minutes.
Renovation Committee, Carrie Quinn’s report is attached to these minutes.
The renovation committee has asked that $20,000.00 from the Mary Williams’ Trust be set up for use in the event of change orders. Bill Brown made a motion to pass a resolution that $20,000.00 from the Mary Williams’ Trust be available for change orders that may come up from time to time in the renovation process. Second made by Linda Curtis. The motion passed with Carrie Quinn abstaining.
Carrie also reported that the renovation has uncovered several mis-haps that have occurred in the past, e.g. charred wood perhaps caused by fire or overheated by electrical problems.
Clergy report, Samantha thanked everyone for the reception welcoming her to the church. She is working on new staffing hours for the office and other staff.
Warden’s report, Charles Edmonson asked for a motion to decommission the Search Committee, Brian McMahon made the motion to decommission the Search Committee. Second was made by Carrie Quinn. The motion passed.
A letter from David Edmonson was read, David thanked the vestry for allowing him to serve on the Search Committee.
Affordable Care Act information has been distributed to staff.
The Reverend Samantha Vincent-Alexander has been asked by the Diocese to apply for VIPCARE, a pastoral leadership formation program, Samantha is looking into to applying for this learning experience.

The Music Fest event went well, no problems. Thanks to all who helped, the tips have not yet been counted.
A letter from Doug Miller was read, Doug is suggesting the Parish Profile be taken from the website. Bill Brown made a motion to take down the Parish Profile on the website, the motion was seconded and passed.
Emmanuel Episcopal Church will be hosting the church service for Thanksgiving on Wednesday November 27. All Episcopal churches in the city are asked to attend.
Meeting was closed with members repeating the “It is night” prayer from the New Zealand Book of Common Prayer
