Vestry Meeting, September 17, 2013

Charles Edmonson, Senior Warden called the vestry of St. John’s Episcopal Church, Elizabeth City Parish, to order at 6:35 pm on September 10, 2013, members present were Dan Clark, Junior Warden, Linda Curtis, Treasurer, Kay Olson, Registrar, Vestal Lewis, Brian McMahon, Sylvia Edgar, Kevin Eley and Bill Brown. Guests present were Linda McMahon, and Nancy Adams, Stewardship co- chairpersons, and Nick Heavens. Carrie Quinn and Thomas Templeman, Youth Representative were absent.

Bill Brown provided refreshments and prayers and reflections.

Linda McMahon, and Nancy Adams co-chairpersons, gave a report of the 2013/2014 Stewardship campaign reinvesting in St. John’s. The plan is to run the campaign for the full year. The theme will be “Come Grow with Us.” with a seed image as the potential for a Flower Garden.

Time Line:

  • Campaign to start in October, information to be in the October parish publications.
  • Letter will be sent to parishioners in November
  • Pledge Sundays to be November 17 and November 24, with a follow-up in December.
  • January budget planning.

Discussion was held on sending a seed imbedded postcard back to all who pledge. The cost of the postcards is 500 cards for $250.00. Independent Pledge Keeper for the committee will be Ruth Simmons.

A Motion was made by Bill Brown to approve the Theme and to purchase the post cards.

Motion carried.

Bill and Eleanor Brown will purchase and donate the postcards.

Nick Heavens gave a report on the upcoming Music Festival Event to be held on October 19, 2013. Time of the event to be 11:00 am until 8:00 pm. We will need 501C from the comptroller of the Diocese of Southern Virginia and a document from the National Church of tax free exemption status. Vestal Lewis will obtain these documents. Discussion was held as to how many workers will be needed to work two (2) hour shifts. Money will change hands. St. John’s will receive all tips collected and 10% of the profit of sales of beer.

Brian McMahon made a motion to open a new banking account at Old Point National Bank and to close all other existing accounts. Second by Dan Clark. Motion carried.

Vestry approved the need for four (4) signees for the Old Point National Bank account. The Signees are to be Linda Curtis, Gwen Cumming, Connie Heath, and Ann Ward.

Outreach Committee Report is attached to these minutes. Brian McMahon made a motion to accept the allocations for disbursement from the Nickerson Trust. Sylvia Edgar seconded the motion. Motion passed. Allocation request is attached to these minutes.

The Outreach committee chairperson, Jo-Ann Mahony, found that money allotted for missionaries had not been disbursed. Dan Clark made a motion seconded by Bill Brown that the money be donated to a related mission fund. The motion carried.

Senior Warden’s report: Trustees of the Church are now on file in the courthouse.

Attached to the minutes is the letter to Samantha Vincent-Alexander extending the call from the vestry to be 47th rector of St. John’s Episcopal Church, the letter from Samantha Vincent-Alexander accepting the call to be the 47th Rector of St. john’s Episcopal Church, the letter to the Right Reverend Herman Hollerith, IV, Bishop of the Diocese Southern Virginia, with the Notice of Election of a Rector, and the Letter of Agreement between The Wardens & Vestry of St. John’s Church and The Reverend Samantha Vincent-Alexander.

A letter of resignation was received from Financial Secretary Bill Boyer, vestry approved the resignation with regret. Bill will be honored at the church service on September 29.

A note was received from Peter Hogg of gratitude to the vestry.

Vestry members are asked to contribute toward the cost of the picture framing.

A motion was made by Dan Clark and seconded by Brian McMahon to move the date of the next vestry meeting to October 22, 2013. Motion passed.

The next vestry meeting is to be October 22, 2013.

Baskets of name tags will be provided in baskets at the end of the pews to help Samantha to get to know names of parishioners.

October 1 is the deadline for volunteer disclosures to health insurance. Charlie is working on this matter.

Bill Brown led in closing prayers. Meeting adjourned at 6:30pm.
