The Vestry of St. John’s Episcopal Church, Elizabeth City Parish, Hampton, Virginia met on November 10, 2009. The Reverend Donna-Mae Siderius opened the meeting at 6:35 pm. Present were Bettyrene Pope, Junior Warden, Bob Harper, Senior Warden, Ruth Simmons, Betsy Clark, Suzanna Stephens, Kay Olson, Registrar, Ann Rice, Charlie Edmonson, Kevin Van Sloten, Jay Hogg, Nick McMahon, Peggy Hayes, and Kevin Eley, Also present Connie Heath, Treasurer and Terrey McKinney, Chairperson of the Finance Committee.
Devotion and refreshment were provided by Charlie Edmonson.
Terrey McKinney, Chair of the Finance Committee, was in attendance to present the proposed budget for the year 2010. She emphasized the committee’s belief that for a church this size the 2010 budget needs to include a line item for a new assistant/associate rector. A vote on the proposed budget was taken, the motion to accept the proposed budget was approved with 2 negative votes. Action Taken: The motion to accept the proposed budget was approved with 2 negative votes.
Bettyrene Pope made a motion and Betsy Clark seconded the motion to add to the draft budget a line item of $40,000.00 for a one half year salary for an assistant rector. The draft budget will be increased to $516,605.00. Reverend Siderius can begin a search for an assistant at the Rector’s discretion in 2010. The motion passed. Connie Heath, Treasurer, presented the Treasurers report; balances are at the percentages indicated for this time of the year. The report was approved as presented.
Ruth Simmons reported on the Stewardship campaign in-progress. Bettyrene Pope commended the team of Betsy Clark and Ruth Simmons for a job well done for stewardship.
The renovation committee has received a certificate from the roofers stating their work has been completed as stated in their contract. The Stained glass windows are still being cleaned and safety glass installed, this will be finished in a few more weeks. A change order from Higgins & Associates to replace 10′ soffit made out of mahogany, miscellaneous repairs to wood frames and moldings, make an extension of the transom for safety glass, replacing 6 ¾” x 5″ window sill out of mahogany, and install flashing as discussed. Additional cost to be $4,500.00. Charlie Edmonson made a motion and Ruth Simmons seconded the motion to ask approval for payment to the change order in the amount of $4,500.00 from the Mary Williams Trust. The motion passed.

Bob Harper is to write a letter of thanks to the trustees of the Mary Williams Trust for all that has been done for St. John’s Church.
A meeting for the Night’s welcome committee is scheduled for December 1. Charlotte Dillow will be the in house representative from H.E.L.P. for the week we host Night’s Welcome.
Junior Warden’s report: Junior Warden, Bettyrene Pope, reported a lock has been placed on one of the cabinets for the commemorative committee to use to store their wares. Light bulbs have been replaced and the renovations to the Handicap restroom are being finished.
Thanks to Bettyrene and Jack Pope for all the work they have been doing in and around the church and parish house.
Senior Warden’s Report: Senior Warden, Bob Harper, thanked the Finance Committee for the work of putting together the 2010 budget. Bob also stated “how we portray the past is an indication of how we will face the future.”
Rector’s Report: The Rector, Donna-Mae Siderius, reported the Annual Parish Meeting is Sunday the 15th. The budget conversation does not have to be a part of the Annual Meeting the budget presentation will be a separate meeting to give more time for discussion.
Those persons retiring from vestry in 2010 are Betsy Clark, Kevin Eley, Charlie Edmonson and Bob Harper. The nominees are John Chiasson, David Foster, Bob Harper, and Bill Rhodes. Eddie Clark is the Youth representative elected by his peers in the YAC class. Speakers at the Annual Meeting will be Ron and Carrie Quinn of the renovation committee, Linda McMahon of the 2010 committee, and Sukey Stephens head of the “Sole to Soul” teams. A 2010 brochure is being drafted as a hand out at the meeting.
Charlie Edmonson made a motion to give a memorial gift to the Mission of the Holy Spirit in Norfolk, a gift of $150.00 in memory of the Bishop Charles Vache, who was a retired Bishop of the Diocese of Southern Virginia. Bettyrene Pope seconded the motion. The motion passed. The Dr. Chuck Tacky light was given to Charlie Edmonson by Parkie Rice. The Mission Tacky Light was given to Sukey Stephens by Kay Olson.
