Vestry April 14, 2009
The Vestry of St. John’s Episcopal Church, Elizabeth City Parish, Hampton Virginia, met on April 14, 2009. The Reverend Donna-Mae Siderius, Rector, opened the meeting at 6:35 pm. Present were Bob Harper, Senior Warden, Bettyrene Pope, Junior Warden, Kay Olson, Registrar, Sukey Stephens, Parkie Rice, Peggy Hayes, Nick McMahon, Youth Representative, Ruth Simmons, Charlie Edmonson, Kevin VanSloten, The Reverend Skip Hutton, and Guest, Diana Youngclaus. Absent were Jay Hogg, Betsy Clark, Kevin Eley, and Treasurer, Connie Heath.
Diana Youngclaus was guest speaker. Diana is a retired registered nurse and expressed a desire to be of service to the parishioners. Diana and the Rector talked about the possibility of introducing the Parish Nurse program to St. John’s. The Diocese of Southern VA was willing to provide the funds for Diana to attend a one week program on Parish Nursing. Diana reported on her attendance and indicated the desire to begin a Parish Nurse program here at St. John’s. Plans are for her to introduce the concept and plans for the program during the Adult Forum classes in September.
The minutes of the March meeting were corrected to show that Peggy Hayes and Nick McMahon were present during the March meeting.
The Treasurers report was approved as printed.
Vestry members who attended the Vestry Days with the Bishop on March 21 gave reports on the classes each attended.
A 2010 Celebration report was presented in print. (a copy is attached to these minutes) Highlights were as follows:
- Beverly Gundry graciously accepted role as Honorary Committee Chair.
- Entered into a contract with Charm City Cakes for a birthday cake to be made in the shape of St. John’s Church building.
- Announced new LOGO contest—designs are due by the end of April.
- Elizabeth Phillips graciously accepted responsibility for a Parish House dinner honoring notables attending the 2010 celebration.
- John Siderius developed a number of options for the music programs in 2010.
- John Quarstein will give a talk on St. John’s during the Civil War in April or October of 2010
- Reminder of Book Signing April 26, 2009 for Jim Tormey’s new book.
Renovation committee report
The renovation committee recommends that Guernsey Tingle Architects be contracted to prepare “as built church drawings and building code analysis.” This firm was selected from four different proposals. One of the many rationales was that they have prior church restoration experience and could be a continued resource in the future.
Monies to fund this proposal shall be requested from the Mary Williams Trust or the Endowment Foundation.
Bettyrene Pope made a motion to request payment from the Mary Williams Trust or the Endowment Board to fund the proposal for ‘as-built drawings’ and code analysis. Bob Harper seconded the motion. The motion carried.

Junior Warden’s Report: Bettyrene Pope
Regular maintenance issues have been attended to. Light bulb installation was on the top of the list.
The roofer will begin work on the parish house slate roof as soon as night temperatures are higher. The temporary patch seems to be holding and additional leaks on the stage are not evident.
Hoffman House Electrical installation is complete. Trim has been installed and painted. Painting is nearing completion. A shower is being installed in one bathroom at the request of the new tenant. New ceiling tiles are in place. New locks have been installed. Sealing of bricks at the parking lot level on the outside to stop seeping water has been completed.
The next project will be to sand and seal the concrete floor before laminate wood floor is put down on Side B.
A new door closer was installed for tenants upstairs in Hoffman House and a new light bulb in street light was installed.
Senior Warden’s Report: Bob Harper
A report on the church building renovation will be scheduled for discussion during the Adult Forum Class sometime after the September start date of Christian Formation.
Bob suggested a day trip be planned for the older generation of our parish. A suggestion was made to make it a trip to The Jamestown Exhibition Hall to view St. John’s Silver now on display with lunch to follow.
Associate Rectors Report
Skip reported he has been in contact with recent visitors and newcomers and is getting to know more about their plans. He is also doing some visitations to some of the shut-in parishioners.
Rectors Report
Donna-Mae reported the H.E.L.P. Annual Dinner will be at Immaculate Conception Church on April 21, at 6:30 pm.
The Parochial Report for 2008 was presented to vestry for approval and signed by the registrar.

Tacky Lights were presented. The Mission Light was given by Nick McMahon to Charlie Edmonson. The Dr. Chuck Light was given by Sukey Stephens to Parkie Rice.
