For January, 2002
The regular meeting of the vestry of St. John’s Church, Elizabeth City Parish, Hampton, Virginia was held at the parish house on January 8, 2002, The Rev. Keith N. Adams, Rector, presiding.
Vestry members present were Marian Blount; Nelson T. Durden, Registrar; Billie Einselen, Senior Warden; Bob Harper; Hansi Haufler; Linda Lashley; Connie Heath, Treasurer; Vestal Lewis; Bill Mace; Bettyrene Pope; Mary Ellen Sawyer; Eric Stewart; and W.L. (Bill) Terrill, Junior Warden; Keith N. Adams, Rector.
Absent: Richard Hayes.
Devotions: Marian Blount.
Pastoral notes were given by the Rector.
The minutes of the December 2001 regular vestry meeting were approved as corrected. The minutes of the special vestry meeting held on June 14, 2001 were distributed and approved. The minutes of the regular vestry meeting held on August 14, 2001 were further corrected.
Old Business
- A description of the organization policy and procedures In-Reach/Pastoral Care committee was distributed and discussed. Several verbal amendments were made. A motion was made, seconded, and passed that the organization, policy, and procedures of the Pastoral Care Committee as verbally amended be adopted as distributed.
- Computer network. Cox at Work went out of business and St. John’s Internet connection was down for approximately two weeks. It will be up again on January 9, 2001.
- No report on committee/commission structure and chairs.
- Thank you notes were read from Nancy Bagley, Sue McLain, and Sallie Anne Powell.
- Koinonia groups are forming under the leadership of George and Phyllis Neal.
- It will cost $1608 to clean the parish house carpet. After a discussion a motion was made seconded and passed that this matter be tabled until the next regular vestry meeting.
- Endowment Fund Election: Larry Cumming was elected to the board of directors of the St. John’s Endowment Trust for a five-year term. The next meeting of the Board of Directors will be January 25, 2002.
- The Charitable Trust Fund election has already been held.
- Fat Follies: This year’s follies will be in memory of Marie Deis, and John Siderius will be in charge of the follies.
Stewardship/Budget Report
Bob Harper reported that the vestry is not ready to vote on a 2002 budget yet because no budget for 2002 has been submitted. He also reported that 139 pledges have been received for a dollar amount pf 289,990.00 He further suggested that the vestry may have to make some telephone calls to those persons who pledged last year but not so far this year. He then distributed a handout setting forth 2001 budget disbursements and proposed 2002 budget disbursements. There was much discussion. Lastly, Mr. Harper advised the vestry that another stewardship letter will be sent to the parish to thank those who have pledged, and to ask those who have not pledged to please do so.
Treasurer’s Report
Treasurer reported there was $45,643.00 in the bank account as of January 8, 2002. She also distributed the St. John’s Income and Expense Statement for the month ending December 31, 2001; the special account reports, and the Hoffman House report. There was a general discussion. A motion was made, seconded, and passed that vestry adopt a continuing resolution that monthly funding for February 2002 continue at the same rate as February, 2001. An asking budget for 2002 was distributed and discussed.
Junior Warden
Mr. Terrill reported that the sign has been repaired. He also reported that there is water damage to the parish house, and he will ask a structural engineer to look at the parish house. He lastly reported that an electrical outlet will be installed on the north side of the Church building. The outlet will be near the lectern.
Senior Warden
Billie Einselen began with a thank you note from Eric and Amy Stewart. Tech Riders will be at St. John’s March 4, 2002 through March 7, 2002. The contract with Hampton History Museum Association in regard to St. John’s old communion silver has been presented to the executive committee. After discussion a motion was made, seconded, and passed that the contract amended and be adopted. See attachment.
Rector’s Report
The Rector reported that the Christmas season had been busy. He further reported that the staff had come to work on Saturday, January 6, 2002, because of the snow. The Rector wanted the vestry to view a video entitled, “Church Doctor” but the viewing was deferred until the next regular vestry meeting.
New Business
- New electrical outlet near lectern was addressed by the Junior Warden.
- Financial Committee policy was distributed and deferred to the February 2002 regular vestry meeting for discussion and consideration.
- Debbie William has resigned as Hospitality Chair and she suggested Kay Garder as the new chair.
- A resolution is to be drafted honoring P. Warren Spratley for his years of service to St. John’s Church.
The next vestry meeting will be February 5, 2002.
Diocesan Council will be held in February, 2002 in Williamsburg, Virginia.

LOAN AGREEMENT
Between
St. John’s Episcopal Church
100 West Queen’s Way in Hampton VA 23669
(hereafter called the Church)
and
Hampton History Museum
105 West Queen’s Way in Hampton VA 23669
(hereafter called the Museum)
- This agreement is made as a result of Vestry action at the May 2001 meeting whereby approval was given to the Museum to exhibit the Church’s 17th- Century silver in its new building. The Vestry determined that sharing the colonial artifacts with the public and Hampton citizenry will increase the silver’s visibility and will add to the museum a great educational and historical tool for students and visitors.
- This agreement will cover the loan of the Church’s colonial communion silver, made in London in 1618-19 and consisting of one chalice (large communion cup) and two patens (smaller plates) in an as-is condition.
- This agreement established the transfer of the Church’s communion silver before the opening of the Museum, now scheduled for July 30, 2002, and will continue indefinitely unless terminated by one party giving the other part at least 90 days’ written notice of its intent to terminate this agreement.
- The Museum will provide state-of-the-art security for the silver, as well as insurance, the amount of which will be determined by mutual agreement of the parties.
- The Church reserves the right to recall the silver whenever it has a desire to do so, such as Easter, Christmas, and/or any other celebration. Prior notice will be given before its removal.
- The silver will remain in exhibit state and under protection of the Museum until/unless removed by at least two of the following: the Administrator or Curator of the Museum and the Rector or Senior Warden or Junior Warden of the Church, at which time the silver will be in the protection of the Church. The silver will not be removed from the exhibit without concurrence of representatives of both the Museum and the Church except as provided in paragraphs 3 and 5 above.
