The regular meeting of the vestry of St. John’s Church, Elizabeth City Parish, Hampton, VA was held on October 10, 2000. The Reverend Richard L. Vinson, Interim Rector, called the meeting to order at 7:00 PM.
Those present were Richard Hayes, Vestal Lewis, Frank Edgar, Sr., Lew Vermillion, Leo Vaisvil, Marian Blount, Dan Clark, Linda Eanes, Mary Ellen Sawyer, Hansi Haufler, Nelson T. Durden, Bob Harper. Absent: Billie Einselen and Keith Hatch
Devotions were given by Rick Vinson.
The minutes of the September, 2000 regular vestry meeting were approved as corrected.
Financial Reports: The financial report was given by the Interim Rector who distributed the St. John’s Income & Expense statement as of the end of September, 2000. He also distributed Special Reports-2000. Mr. Vinson reported that there is a 4.2% shortage of anticipated income as of the last day of September 2000, and that the bank balance is $31,605.98 as of October 10, 2000. He also reported that the Nickerson Estate received $2,300.00 in August, 2000. Mr. Vinson further reported that there is 2.1 million dollars in the St. John’s Endowment Fund; approximately $200,000.00 in the Cemetery Fund; and $53,192.42 in the Charitable Trust, as of September 3, 2000. The estimated income from the Charitable Trust is $1,616.00 per annum, and the market value of the Corpus of the Charitable Trust is $84,798.94. On behalf of the Mission and Ministry area of the Parish Action Committee, Vestal Lewis recommended that a $1,000.00 donation be made to Food For the Poor, Inc. from the St. John’s Charitable Trust; and he also recommended that a $500.00 donation be made to Meals on Wheels. A motion was made, seconded, and passed that the Vestry adopt these recommendations. Mr. Vinson lastly reported that the balance in the discretionary fund is $3,248.43 as of September 30,2000.
The Horseman building update was given by Mr. Vinson, who reported that the offer of $290,000.00 by St. John’s to purchase the building has been refused. There was a discussion. The Vestry took no action on this matter at this time.
Senior Warden Report: Mr. Edgar reported that the Interim Rector, the Junior Warden, and the Senior Warden will meet next week with representatives from the four other Episcopal churches in the area to discuss a joint Thanksgiving service this year. There was a discussion and suggestions.
Junior Warden Report: Mr. Vermillion, the Junior Warden, reported as follows:
1. The last Church Schoolroom on the left has a new rug. 2. The Choir room will be re-tiled. 3. Some tile work will be done in the Hoffman House.
4. The brickwork at the third site will be paid for from the annual operating budget.
5. There is a leak in the Church School basement and a sump pump will need to be installed. 6. Areas of the Hoffman House need to be painted.
7. Areas on the inside of the Church Building need to be painted.
8. No monies will be forthcoming from the Endowment Fund to repair the Hoffman House roof 9. We have two estimates to repair the Hoffman House roof One for $32,000 and another for
10. It will cost $5,000 to replace an air conditioning unit on the roof of the Hoffman House that needs to be replaced.
There was a discussion as to the best method to raise money to repair the roof of the Hoffman House and to replace the air conditioning unit. A motion was made, seconded, and passed that the finance committee be asked to find the best method to replace the air conditioning and repair the roof including approaching the Endowment Fund.
Search Committee: On behalf of the Search Committee, Mr. Vinson reported that the Parish Profile is at the printers and that we already have over 60 names in the search mode.
Interim Rector’s Report: Mr. Vinson gave an update on Stewardship and the Every Member Canvass for 2000. The first letter of this year’s canvass will be mailed the first part of November 2000. Vestry members may be asked to make follow up contacts with the congregation.
Parish Action Committees (PAC)
Stewardship of Resources: see Attachment. Congregation Life: Comments were given by Linda Eanes and Leo Vaisvil. In summary, they reported that there is a need for something to bring St. John’s Church into a common union. Mission & Ministry: Vestry Lewis and Mary Ellen Sawyer gave the report which identified that there is still a need for outreach and a need to work on Evangelism.
